Sales and Catering Coordinator

Great Wolf Lodge seeks a Sales & Catering Coordinator to support group sales and events at our family-focused resort. This role assists with proposals, contracts, and room blocks, and coordinates event details such as banquet orders, AV, and timelines. You'll communicate with clients, confirm requirements, and partner closely with operations and food & beverage teams to deliver seamless events. Responsibilities include maintaining CRM records, preparing reports and invoices, and supporting site tours and tastings. Ideal candidates have hospitality or event experience, strong organizational skills, and a guest-obsessed, team-oriented mindset.

Responsibilities

• Support sales and catering managers with proposals, contracts, and group bookings
• Coordinate event details including room blocks, banquet orders, and AV needs
• Liaise with clients to confirm event requirements, timelines, and changes
• Collaborate with operations, food & beverage, and front desk to ensure seamless execution
• Maintain sales databases, reports, and files in an accurate and timely manner
• Assist with site tours, tastings, and client visits
• Prepare invoices, track deposits, and monitor event billing accuracy
• Respond to sales and event inquiries via phone, email, and online channels
• Help execute sales promotions, group packages, and special event offers
• Ensure all events follow brand standards and safety and guest service guidelines
